Inserting Subtotal and Total Bands in the Report Designer

The Report Designer can total amounts or counts based on the fields that are included in the report. For example, a Subtotal Band can show how many matters a staff member has and the Total Band can show how many matters there are in the entire office.

Take the following steps to insert subtotal bands in a custom report:

  1. Open the Report Designer from the Report Specifications window.
  2. Click the Sort tab to set sorting and totaling options.
  3. Select a data field from the Sort Field 1 drop-down list that you want to include in the total.
  4. Select Ascending or Descending from the Sort Order drop-down list.
  5. Click to check Subtotal Band to the right of the Sort Field 1 drop-down list.
  6. Click to check Page Break if you want to insert a page break.
  7. Select a data field from the Sort Field 2 drop-down list that you want to include in the total.
  8. Select Ascending or Descending from the Sort Order drop-down list.
  9. Click to check Subtotal Band to the right of the Sort Field 2 drop-down list.
  10. Click to check Page Break if you want to insert a page break.
  11. Select a data field from the Sort Field 3 drop-down list that you want to include in the total.
  12. Select Ascending or Descending from the Sort Order drop-down list.
  13. Click to check Subtotal Band to the right of the Sort Field 3 drop-down list.
  14. Click to check Page Break if you want to insert a page break.
  15. Click OK to return to the Report Designer window.
  16. Click to highlight the field from the Fields list that you selected on the Sort Field 1 drop-down list.
  17. Click Insert Field to take the field from the Fields list.
  18. Click on the report layout to place the field in the SubHead 1 or Sub1 bands of the report layout.
  19. Click and hold one of the red squares and drag to resize the field.
  20. Insert additional fields from the Fields list that you selected on the Sort Field 2 and Sort Field 3 drop-down lists in the SubHead 2, Sub2, SubHead3, and Sub3 bands of the report layout.
  21. Click and hold one of the red squares and drag to resize the fields.
  22. Right-click the field in the SubHead 1 band and select Properties to open the Field Label Properties window.
  23. Select Left, Right, or Center from the Alignment drop-down list.
  24. Click to check Wrap Text if you want to wrap the text in the field.
  25. Select Number, (Number), Money, (Money), or Do Not Print from the Format drop-down list to set the numerical format of the field.
  26. Click Set Font to open the Select Font window.
  27. Select a font from the Font list.
  28. Select a style from the Font Style list.
  29. Select a font size from the Size list.
  30. Click to check Strikeout if you want to place a strike through the font.
  31. Click to check Underline if you want to underline the font.
  32. Select the font color from the Color drop-down list.
  33. Click OK to return to the Field Label Properties window.
  34. Click the Position tab to set position options.
  35. Enter a value into the X Position field.
  36. Enter a value into the Y Position field.
  37. Enter a value into the Height field.
  38. Enter a value into the Width field.
  39. Click OK to return to the Report Designer window.
  40. Select options on the Field Label Properties window for fields inserted in the Sub1, SubHead 2, Sub2, SubHead3, and Sub3 bands.
  41. Add any other fields you want and position them on the report.
  42. Click Save & Close on the main toolbar to return to the Report Specifications window.

NOTE:

The custom report you created remains in the Format tab of the Report Specifications window and is available for use in the future.
