Enabling the PCLaw Electronic Billing Feature

You can use the PCLaw® Electronic Billing feature to create invoices using specific formats required by third party electronic billing companies, such as Examen, Ledes, Litigation Advisor, Nationwide, PWC, Tymetrix, and others. The PCLaw software simultaneously creates both a conventional and an electronic version of your invoice that you can copy to a diskette or mail electronically.

Take the following steps to enable the PCLaw Electronic Billing feature:

  1. Enable Electronic Billing in the System Settings.
  2. Set up Timekeepers for Electronic Billing in Lawyers and Rates.
  3. Set up Matters for Electronic Billing in the Matter Manager.

Enabling Electronic Billing in the System Settings

Take the following steps to enable the Electronic Billing feature in the System Settings:

  1. Click Options and select System Settings to open the System Settings window.
  2. Click the Data Entry tab.
  3. Click to check the Use Quantity x Rate Entries box.
  4. Click OK to close the System Settings window.

Setting Up Timekeepers for Electronic Billing in Lawyers and Rates

If your third party electronic billing company requires one of the following layouts, they need to provide additional information for each timekeeper that uses Electronic Billing:

  • Examen
  • Ledes
  • Price Waterhouse Coopers (PWC/Peer)
  • Tymetrix
  • Popular

Take the following steps to enter the additional information that PCLaw requires for each timekeeper:

  1. Click Options and select Lists, then Lawyers and Rates to open the Lawyers and Rates window.
  2. Click to highlight the lawyer you want to change on the Lawyers list.
  3. Click the Change button to open the Change Lawyer Information window.
  4. Click the Special Fields tab.
  5. Enter the following information in the Examen section if you use the Examen layout:
    • Enter your User Code in the User Code field.
    • Enter your User Type in the User Type field.
  6. Enter the following information in the Ledes/L2K/PwC/Peer section if you use the Ledes or PWC/Peer layout:
    • Enter the Timekeeper's first name in the Timekeeper First Name field
    • Enter the Timekeeper's last name in the Timekeeper Last Name field.
    • Enter the Timekeeper Classification In the Timekeeper Classification field (optional).
  7. Enter the following information in the Tymetrix section if you use the Tymetrix layout:
    • Enter Yes in the Attorney field if the Timekeeper is a lawyer.
    • Enter No in the Attorney field if the Timekeeper is not a lawyer.
  8. Enter the following information in the Other section if you use the Popular layout:
    • Enter the Timekeeper's ID Number in the Field 1 field.
  9. Click OK to close the Change Lawyer Information window.

NOTE:

Repeat steps 2 - 9 for each Timekeeper that uses Electronic Billing.

Setting Up Matters for Electronic Billing in the Matter Manager

Take the following steps to set up Electronic Billing for a Matter:

  1. Click File and select Matter Manager to open the Matter Manager window.
  2. Enter your Matter Number in the Matter field.
  3. Click the Refresh button to open your Matter.
  4. Click the Add Tabs tab to open the Add Tabs window.
  5. Select the Layout Type that you use for electronic billing from the Available Tabs list.
  6. Click OK to add the new tab.
  7. Fill in the fields with any information that your E-billing company requires including the proper template in the Associated Billing Template drop-down list.
  8. Click the Save/Close button to save your changes to the Matter.

NOTE:

Repeat steps 2 - 8 for each Matter that uses Electronic Billing.
