Creating Mailing Labels

Take the following steps to create a mailing label:

  1. Open a Record List or perform a search in a Record List.
  2. Click to check the record(s) that you want to print in the [Record Type] List window.
    NOTE: Press Ctrl + T to tag all records in the list.
  3. Click Print Records on the [Record Type] toolbar to open the Report Specifications window.
  4. Click the Label tab of the Report Specifications window.
  5. Click Add on the Format tab of the Report Specifications window to open the Label Format window.
  6. Enter a description in the Description field of the Label Format window.
  7. Select a label group from the Label Group drop-down list.
  8. Select a label layout from the Label Layout list.
    NOTE: Create your own label layout if the list does not include the type of labels you use.
  9. Click Font to open the Select Font window.
  10. Select the font from the Font list.
  11. Select the style from the Font Style list.
  12. Select the font size from the Size list.
  13. Click to check Strikeout to place a strike through the font.
  14. Click to check Underline to underline the font.
  15. Select the font color from the Color drop-down list.
  16. Click OK to return to the Label Format window.
  17. Select a field from the Field Name list.
    NOTE: Select a form style from the Form Style drop-down list to use field names from other form styles.
  18. Click Select Field to add the field to the Label Design window.
  19. Edit the layout in the Label Design window to include any punctuation or characters that you want.
  20. Add additional fields to the Label Design window from the Field Name list that you want.
    NOTE: Select Special from the Data Fields drop-down list to choose a date, tabs, and non-standard field to add. Click Select Field to add the field to the Label Design window.
  21. Click Options to open the Label Options window.
  22. Click to check Remove Blank Lines if all Data Fields are blank to remove empty fields from the labels.
  23. Click to check Print POSTNET Barcode to include the POSTal Numeric Encoding Technique barcode used by the United States Postal Service on the label.
  24. Select the field in the record that contains the zip code from the Zip Code Field drop-down list to create the zip code portion of the POSTNET barcode.
  25. Select the field in the record that contains the recipient's address from the Street Address Field drop-down list to create the address portion of the POSTNET barcode.
  26. Select one of the following for the location of the barcode on the label:
    • Above Main Address
    • Below Main Address
  27. Select one of the following Field Options to set your preference for prompts during printing:
    • Never
    • Always
    • If Blank

      NOTE: Click to check Backfill if you select Always or If Blank to save information entered into the prompt to the record.
  28. Click OK to return to the Label Format window.
  29. Click OK to return to the Report Specifications window.
  30. Click Print.
    NOTE: You can also click Preview to open the Report Preview window and save your labels as a PDF, RTF, XLS, or HTML document.
  31. Click Close to close the Report Specifications window.

NOTE:

The label you created remains under the Description tab of the Report Specifications window and is available for use in the future.
